Live transcription

Experience enhanced confidence during meetings with our new live transcription feature. Watch as words appear in real-time while you speak, helping you verify audio quality and ensure all participants are being captured clearly. This feature works seamlessly across all meeting types - whether in-person, virtual, or phone calls.

The live recording interface now displays three distinct statuses:

  • Ready to transcribe - Initial state when live recording is selected
  • Waiting for first words - Recording has started, awaiting speech or microphone access
  • Transcribing - Active recording state with speech detection confirmed

To maintain focus during your meetings, the live transcript can be hidden with the eye icon toggle. For peace of mind, hover over the "Transcribing" status to view the running word count of your captured conversation.

This new feature also brings improved reliability to live recordings. Each sentence is saved as it's spoken, allowing you to resume recording from your last saved point if unexpected issues occur. Simply reopen the meeting and select "Resume live recording" to continue.

Once you complete your recording with "Stop & Finalise Transcript", you can immediately begin generating your file note. Access the full transcript, complete with timestamps and speaker separation, by clicking the pencil icon next to "Transcript".

Template enhancements

Our templates system has been improved to help you create better File Notes more efficiently. Generate custom templates with AI assistance, improve them automatically based on your feedback, and fine-tune them with advanced controls when needed.

Template generator

Create custom templates by describing what you want to capture. Claras will analyse your requirements and generate a template optimised for your meeting type. You can also paste in existing templates from Word or PDF to use as a starting point. Claras will understand the structure and recreate it in our template format.

Template refiner

Templates can now be improved directly from your File Notes. When reviewing a processed meeting, click "Refine Template" to suggest changes. Claras will analyse your feedback, update the template, and show you a side-by-side comparison of how your File Note would look with the improved template.

Improve your AI File Note templates with the help of Claras

Changes can be applied to just the template (for future meetings) or both the template and current File Note. This iterative approach lets you perfect your template structure and output through natural feedback, without having to manually edit the template yourself. Advanced template controls

For practices needing precise control over their File Notes, we've added an advanced template editor. Access it by clicking "Show advanced editor" when viewing your template.

The editor gives you full control over how your templates work and what they output. You can manually adjust the content, formatting and conditions that control how your file notes are generated.

Advanced edits don't prevent future template improvements — you can still use the template improver after making manual adjustments. See our Advanced Template Editing guide for detailed instructions on using these controls.

Smarter file notes with more context

Each template is now linked with your profile settings, allowing Claras to generate more accurate and relevant file notes. Core details like client names, advisor names, and dates are correctly referenced throughout the document.

Your new profession and location settings from "My Profile" also flow into both the template generator and File Note generator. This ensures Claras creates appropriate content whether you're a financial adviser in Australia, an accountant in New Zealand, or a planner in the United Kingdom.


File Note regeneration

Enhance specific sections of your file notes with AI assistance using our new regeneration feature. Generate new text with custom instructions, preview the proposed changes, then choose whether to replace the selection entirely, insert alongside existing content, try again with different instructions, or discard the suggestions. The feature automatically preserves your template formatting and style while incorporating new information, ensuring consistency across your documentation.

Highlight your File Note for the regeneration option

Simply highlight any portion of text and access contextually-aware AI suggestions through the regeneration menu that appears. The regeneration tool references original meeting transcripts, complete file note context, template structure, meeting details and metadata, client and adviser information, and additional meeting notes. When regenerating content, you can maintain all PII redactions and sensitive content while improving clarity and completeness.

Retention settings

Take greater control over your practice's information security with customisable data retention settings. This new feature allows you to automatically manage the lifecycle of meeting recordings and transcripts within Claras.

Configure separate retention periods for:

  • Meeting recordings (audio/video files)
  • Meeting transcripts

Set custom retention periods from 1 day up to 10 years, or disable automatic deletion entirely. Deletion triggers only after meetings are finalised, giving you full control over when the retention period begins.

This helps maintain client confidentiality and regulatory compliance by ensuring sensitive data isn't retained longer than necessary. All deletions occur automatically on an hourly schedule, with no manual intervention required.

New meeting statuses

We've refined meeting statuses to better align with the File Note workflow. After transcribing your meeting and generating the file note, Claras will set the status to "Processed" - indicating it's ready for review, adjustments, and next steps like saving to your CRM or sending client emails.

Finalise your File Note

When you've completed all necessary actions, you can move the file note to "Finalised" status. This not only marks the file note as actioned but also triggers an update to Clarity+, ensuring any additions or corrections flow through.

Live recording capabilities

Customisable meeting agendas

Create and customise meeting agendas for different meeting types. Set default agenda items for each template type, or let Claras automatically generate relevant agenda items based on your File Note outline. Check off items during meetings to ensure thorough coverage of all required topics.

Additional meeting notes

Add private meeting notes visible only to you and your team. These notes help provide additional context or instructions to Claras when generating the File Note, without being shared with clients.

The new Meetings feature integrates seamlessly with our existing File Notes system. Whether you create an entry through Meetings or Notes, everything stays synchronised. While the traditional Notes view remains available, the new Meetings interface offers enhanced features like Clarity Plus insights and agenda management.

  • Adviser: Create and manage client file notes
  • Adviser (Account Owner): Full adviser capabilities plus practice settings access
  • Practice Manager: Manage practice settings and templates at no additional cost
  • Assistant: Support role for client management and file notes ($39/month)

Ready to grow your team? Click the new gear icon in the left-hand menu to get started. You can assign a Practice Manager to handle templates and settings, invite other advisers to create consistency across your practice, and add your support staff as Assistants at $39/month.

Improved Billing

We've made billing and finances more convenient by consolidating all charges into a single practice-wide monthly bill. When adding team members or adjusting plans, you'll see real-time cost previews to help with budgeting. Annual billing options can save up to 20% on your subscription, and our self-service portal makes it simple to manage payment details and plan selection.

New plans

Our Unlimited plan remains the best value for most practices, with all the features you need to grow your business. We're also introducing a Pay as You Go option.

Direct recording uploads

You can now upload audio and video recordings directly to Claras to generate File Notes. This new capability eliminates the need to transcribe recordings separately, streamlining your documentation workflow while maintaining security and compliance.

Upload your meeting recordings directly through the File Notes interface and Claras will automatically transcribe the content, intelligently identifying and labelling different speakers within your recordings, then generate your File Notes and client emails using the same intelligence that powers our text-based workflows.

All processing occurs exclusively within our Australian-based infrastructure, ensuring your client data remains protected and compliant with local regulations.


Clarity+

Transform your client interactions with Clarity+, a new intelligence layer that automatically analyses client file notes to surface key insights and opportunities. The feature processes your last five client file notes to generate dynamic, actionable intelligence accessible from the redesigned Client Overview page.

Clarity+ helps you:

The feature is now available by default on all client pages - just click the "Clients" icon in the sidebar and select any client to view their personalised insights.

Required items

This feature allows you to specify essential elements that should be included in every file note for a specific template. Claras will now alert you if any of these key items are missing from your note, ensuring you capture all crucial information consistently.

It's available now in each template and is template-specific. This means you can customise the required items for different types of client interactions or scenarios.


Template editor

We know many of you have asked for additional detail in your file notes. The Template Editor is here to answer your call! It gives you complete control over what information gets captured, ensuring your notes include all the important details you need. This editor allows you to refine existing templates and create new ones that perfectly suit your workflow.

You'll now find a new template icon in the left navigation bar. Click on it to unlock a variety of options for creating and customising your templates. Plus, you can easily duplicate existing templates to save even more time. Read more in our help centre.

Improve client emails

We've also added a regenerator button to the email tab. Now, if you make changes to your file note, you can simply click this button to update your client email draft with the latest information and change the tone of voice. This ensures your emails are always clear, concise, and perfectly aligned with your most recent notes. Read more here.
