Enhanced transcript experience

The new transcript interface transforms how you review and verify meeting content. Play back recordings directly within Claras while following along with time-synced text, quickly jump to specific moments using timestamps, and search for key discussion points instantly. This isn't just about convenience - it's about giving you confidence that every important detail has been captured correctly.

When you upload audio or video recordings, simply indicate how many people participated in the meeting. This helps Claras accurately separate speakers from the start, reducing confusion and ensuring proper attribution throughout your file notes. Microsoft Teams meetings with recordings automatically benefit from these improvements.

Names done right

Getting client names correct should be simple, yet it's been one of the most requested improvements. We've developed innovative approaches that maintain complete privacy and ensure names are spelt correctly, formatted properly, and consistently used throughout your documentation.

Claras now automatically:

  • Corrects spelling to match your client records
  • Properly identifies individuals in couple meetings
  • Labels speakers accurately in transcripts (showing "Jane Smith (client)" instead of "SPEAKER_1")

These improvements apply to all Claras-generated transcripts from live recordings or uploaded audio/video files. Your existing workflow remains unchanged - just better results every time.

Redesigned meetings list

Meeting List View

We've refreshed the meetings list interface (formerly "Notes") to provide a cleaner, more functional workspace. The familiar chronological view remains, showing your most recent unfinalised meetings at the top, but now includes all the capabilities from the schedule page. Enhanced filtering and sorting options are coming soon to help larger teams manage growing meeting volumes.

Search and filtering preferences now persist between sessions, saving you from repeatedly entering the same criteria. Quick actions via the three-dot menu let you create meetings or documents directly from the list, while client editing has moved to individual client pages for a cleaner interface.

Start with proven templates

Browse our library of professionally crafted templates covering the most common advice documents. Each template includes thoughtfully structured sections with clear guidance on what information to capture. When you find one that suits your needs, copy it to your practice with a single click - it becomes yours to customise whilst staying connected to receive improvements.

The templates use simple square bracket instructions [like this] to guide document creation, making it easy to specify formatting requirements or indicate where specific client information should appear. Conditional sections let you build comprehensive templates that adapt based on scope - for instance, superannuation sections that only appear when relevant to the client's needs.

Smart version control

Document Templates Version Control

Every change to your templates is automatically tracked, creating a complete version history you can browse and restore from at any time. See who made changes, when they occurred, and restore any previous version if needed - perfect for when you want to revert experimental changes or recover sections you removed earlier.

Document Templates Automatic Updates

When the original template you copied receives updates, you'll see a notification with a clear summary of what's changed. Choose to apply these improvements to benefit from ongoing enhancements, or skip them to maintain your current version. The update process intelligently preserves your customisations whilst incorporating new improvements.

Practice level profile

Your practice profile - including business name, ASFL, contact details, and compliance information - now flows automatically into every document you create. Set this information once in your practice settings and it appears consistently across all documentation, eliminating repetitive data entry and ensuring accuracy.

Introducing Attachments - a simple way to give Claras more context about your clients. Upload PDFs, Word documents, Excel files, images, CSVs, or Outlook emails against a client's profile. The attachment is used to enrich Clarity Plus and becomes valuable reference material when creating documents.

Reference Material Selection

When you add an attachment, Claras automatically processes the content, identifies the relevant date, and suggests an appropriate name. As you'd expect, Claras strips out personally identifiable information, which you can verify when viewing attachments with the PII toggle.*

This feature lays the groundwork for future improvements including document templates, client Q&A and CRM integrations. We've got some exciting things cooking that we can't wait to share!

Smarter Clarity Plus

Clarity Plus now maintains a running summary of everything saved against a client. It updates intelligently whenever you finalise a meeting or upload a attachment, identifying dates to determine whether to alter existing information or add something new. Soon you'll be able to edit the summary yourself or tell Claras what you'd like to see inside Clarity Plus.

So next time you bring an existing client into Claras, upload their historical attachments like fact finds, past File Notes or previous SoAs to instantly populate Clarity Plus with their complete background information, ready for your meeting.

Improvements

  • You can now filter Teams meeting by a specific date when choosing a recording or transcript
  • Better error messages when file notes can't be processed (like when the wrong recording was uploaded), with an option to change the status back to "draft" and try again.

*We cannot remove PII from images, so please ensure you remove or minimise personal information before uploading to Claras.

Complete domain control

Start by verifying ownership of your email domains through a simple DNS record. Once verified, any team member with that domain automatically routes through your identity provider - preventing shadow accounts and ensuring everyone follows your security policies. The system continuously monitors your verification status, alerting you if action is needed whilst providing a seven-day grace period to prevent any disruption to your team's workflow.

Automated team provisioning

SCIM support transforms how larger practices manage access. Assign users in Microsoft Entra and watch them appear in Claras with the correct role, automatically. Remove someone from your identity provider and they're instantly deactivated in Claras, with billing adjusted immediately. Configure group-based role mapping to ensure advisers, assistants, and managers all receive appropriate permissions from day one - no manual intervention required.

The real power comes from the integration depth. Name changes propagate automatically. Role updates flow through based on your group assignments. Even complex scenarios like role-based access control work seamlessly, with intelligent safeguards preventing accidental downgrades of critical permissions. Your IT team maintains one source of truth whilst Claras stays perfectly synchronised.

Flexible authentication flows

Your team can now access Claras through multiple entry points - whether starting from your standard login page where they're automatically redirected to your provider, or launching directly from their Office 365 app launcher. Multi-factor authentication remains layered on top, providing defence in depth that satisfies the most stringent security requirements.

Turn your Teams meetings into File Notes with a single click. No more downloading recordings or manually uploading files - simply select a meeting with a recording from your recent calendar events and Claras handles the rest. If a transcript is available, we'll use it to speed up processing, but a recording is all that's required. Everything is imported automatically, preserving every important detail while saving you valuable time.

Connect your Microsoft account through the "Integrations" section in your profile. Whenever you click "Upload Recording" in any meeting, you'll now see "Teams Meeting" as an option alongside your existing upload methods. If you haven't connected your account yet, you'll be guided through the connection process right from there. All processing happens within our secure, Australian-based infrastructure, maintaining the same privacy standards you expect from Claras.

Find and Replace

Make editing large File Notes faster with our new Find and Replace tool. Simply click the magnifying glass icon to search for specific text anywhere in your document. When a client's name has been incorrectly transcribed or you need to update terminology across an entire File Note, you can quickly replace all instances with the correct text.

API

For larger practices wanting to build custom Claras integrations, we've released the first version of our API. You can now programmatically view profiles and templates, create/edit/delete clients, and create meetings using your own transcripts or audio files. API keys are available under Settings > API for Enterprise add-on subscribers. For more information or to request access, please contact our team.

Starting with paraplanner requests, this feature lays the foundation for automating a comprehensive range of advice documentation - from fact finds and letters of engagement, to records of advice, strategy papers, statements of advice, insurance analyses, annual reviews, implementation plans, best interest duty documentation and more.

We're releasing Documents in beta so you can help shape how it develops. The feedback button lets you tell us what's working, what isn't, and what you'd like to see added - whether that's supporting new document types, tweaking the workflow, or adding new capabilities. Your real-world feedback will help us refine and expand Documents to handle the full spectrum of advice documentation your practice needs.

The client page has been enhanced to give you a clearer view of your client relationship. Clarity+ insights, key client details, and a complete history of meetings and documents are now organised in a single, intuitive interface. A powerful new search feature helps you quickly locate specific information within file notes, displaying results with helpful contextual snippets to ensure you find exactly what you need.

Experience enhanced confidence during meetings with our new live transcription feature. Watch as words appear in real-time while you speak, helping you verify audio quality and ensure all participants are being captured clearly. This feature works seamlessly across all meeting types - whether in-person, virtual, or phone calls.

The live recording interface now displays three distinct statuses:

  • Ready to transcribe - Initial state when live recording is selected
  • Waiting for first words - Recording has started, awaiting speech or microphone access
  • Transcribing - Active recording state with speech detection confirmed

To maintain focus during your meetings, the live transcript can be hidden with the eye icon toggle. For peace of mind, hover over the "Transcribing" status to view the running word count of your captured conversation.

This new feature also brings improved reliability to live recordings. Each sentence is saved as it's spoken, allowing you to resume recording from your last saved point if unexpected issues occur. Simply reopen the meeting and select "Resume live recording" to continue.

Once you complete your recording with "Stop & Finalise Transcript", you can immediately begin generating your file note. Access the full transcript, complete with timestamps and speaker separation, by clicking the pencil icon next to "Transcript".

Our templates system has been improved to help you create better File Notes more efficiently. Generate custom templates with AI assistance, improve them automatically based on your feedback, and fine-tune them with advanced controls when needed.

Template generator

Create custom templates by describing what you want to capture. Claras will analyse your requirements and generate a template optimised for your meeting type. You can also paste in existing templates from Word or PDF to use as a starting point. Claras will understand the structure and recreate it in our template format.

Template refiner

Templates can now be improved directly from your File Notes. When reviewing a processed meeting, click "Refine Template" to suggest changes. Claras will analyse your feedback, update the template, and show you a side-by-side comparison of how your File Note would look with the improved template.

Improve your AI File Note templates with the help of Claras

Changes can be applied to just the template (for future meetings) or both the template and current File Note. This iterative approach lets you perfect your template structure and output through natural feedback, without having to manually edit the template yourself. Advanced template controls

For practices needing precise control over their File Notes, we've added an advanced template editor. Access it by clicking "Show advanced editor" when viewing your template.

The editor gives you full control over how your templates work and what they output. You can manually adjust the content, formatting and conditions that control how your file notes are generated.

Advanced edits don't prevent future template improvements — you can still use the template improver after making manual adjustments. See our Advanced Template Editing guide for detailed instructions on using these controls.

Smarter file notes with more context

Each template is now linked with your profile settings, allowing Claras to generate more accurate and relevant file notes. Core details like client names, advisor names, and dates are correctly referenced throughout the document.

Your new profession and location settings from "My Profile" also flow into both the template generator and File Note generator. This ensures Claras creates appropriate content whether you're a financial adviser in Australia, an accountant in New Zealand, or a planner in the United Kingdom.

Enhance specific sections of your file notes with AI assistance using our new regeneration feature. Generate new text with custom instructions, preview the proposed changes, then choose whether to replace the selection entirely, insert alongside existing content, try again with different instructions, or discard the suggestions. The feature automatically preserves your template formatting and style while incorporating new information, ensuring consistency across your documentation.

Highlight your File Note for the regeneration option

Simply highlight any portion of text and access contextually-aware AI suggestions through the regeneration menu that appears. The regeneration tool references original meeting transcripts, complete file note context, template structure, meeting details and metadata, client and adviser information, and additional meeting notes. When regenerating content, you can maintain all PII redactions and sensitive content while improving clarity and completeness.

Take greater control over your practice's information security with customisable data retention settings. This new feature allows you to automatically manage the lifecycle of meeting recordings and transcripts within Claras.

Configure separate retention periods for:

  • Meeting recordings (audio/video files)
  • Meeting transcripts

Set custom retention periods from 1 day up to 10 years, or disable automatic deletion entirely. Deletion triggers only after meetings are finalised, giving you full control over when the retention period begins.

This helps maintain client confidentiality and regulatory compliance by ensuring sensitive data isn't retained longer than necessary. All deletions occur automatically on an hourly schedule, with no manual intervention required.

New meeting statuses

We've refined meeting statuses to better align with the File Note workflow. After transcribing your meeting and generating the file note, Claras will set the status to "Processed" - indicating it's ready for review, adjustments, and next steps like saving to your CRM or sending client emails.

Finalise your File Note

When you've completed all necessary actions, you can move the file note to "Finalised" status. This not only marks the file note as actioned but also triggers an update to Clarity+, ensuring any additions or corrections flow through.

When adding team members or adjusting plans, you'll see real-time cost previews to help with budgeting. Annual billing options can save up to 20% on your subscription, and our self-service portal makes it simple to manage payment details and plan selection.

Our Unlimited plan remains the best value for most practices, with all the features you need to grow your business. We're also introducing a Pay as You Go option.

This feature allows you to specify essential elements that should be included in every file note for a specific template. Claras will now alert you if any of these key items are missing from your note, ensuring you capture all crucial information consistently.

It's available now in each template and is template-specific. This means you can customise the required items for different types of client interactions or scenarios.

We know many of you have asked for additional detail in your file notes. The Template Editor is here to answer your call! It gives you complete control over what information gets captured, ensuring your notes include all the important details you need. This editor allows you to refine existing templates and create new ones that perfectly suit your workflow.

You'll now find a new template icon in the left navigation bar. Click on it to unlock a variety of options for creating and customising your templates. Plus, you can easily duplicate existing templates to save even more time. Read more in our help centre.

Improve client emails

We've also added a regenerator button to the email tab. Now, if you make changes to your file note, you can simply click this button to update your client email draft with the latest information and change the tone of voice. This ensures your emails are always clear, concise, and perfectly aligned with your most recent notes. Read more here.
